Why This Role Matters
We are seeking a detail-oriented and proactive SALES & ORDER COORDINATOR to support our sales team and ensure smooth execution of orders. This role is mission-critical – it ensures that all U.S.-based orders flow smoothly, compliantly, and on time, handling procurement and invoicing processes, and fostering effective communication across internal teams and international partners, with a focus on our China office.
What We’re Looking For in the Sales & Order Coordinator:
We’re looking for a highly organized, resourceful, and reliable individual who thrives in a fast-paced, service-driven environment. You are someone who can juggle multiple priorities, coordinate moving parts with ease, and ensure that nothing slips through the cracks.
You’re comfortable learning new ERP systems and internal processes, wrangling documentation, and you’re not afraid to chase down answers—whether it’s pinning down details with a customer, following up with our logistics manager, or working across time zones with our partners in China.
You must be calm under pressure, capable of owning outcomes, and have a customer-first mindset.
To succeed in this role, you’ll need a mix of operational savvy, attention to detail, and the ability to work both independently and collaboratively. If you’re someone who thrives on keeping things running smoothly behind the scenes, we want to hear from you.
Key Responsibilities for the Sales & Order Coordinator:
- Fulfilling North American customers’ orders: interacting with them via phone and email from the receipt of the purchase order through the successful shipment of the order;
- Coordinating and communicating with the Customer Focus Team in China HQ for stock replenishment in the US local warehouse;
- Coordinating import processes, processing orders into the system and preparing shipping documentation for deliveries;
- Coordinating with the internal Sales Team and Logistics Team in the US office for smooth deliveries to customers;
- Preparing invoices and follow-up on payments from customers;
- Checking daily on deals in Hubspot, ensuring terms and conditions in the PO match the price quotation for each THEO’s deal;
- Compiling and providing timely submission of machines’ passwords to customers;
- Coordinating credit account applications between THEO sales team and MAX China HQ;
- Maintaining a master file on all THEO’s orders;
- Compiling weekly sales revenue reports and sending them to MAX China HQ;
- Performing any other assignments as required by management.
Qualifications for the Sales & Order Coordinator:
- Excellent spoken and written English;
- Good spoken and written Mandarin Chinese to communicate with China HQ;
- Passionate about delivering exceptional customer service and driven by customer satisfaction;
- Excellent interpersonal and communication skills to work effectively with both internal and external customers;
- Attention to detail;
- Skill with numbers and tables;
- Organizational skills, excellent time management and ability to work independently to accomplish daily tasks;
- Flexibility to adapt to changing work priorities;
- Proficiency in Microsoft Office suite – Outlook, Word, Excel, etc.
Preferred :
- 3-5 years customer service experience;
- 3-5 years experience with international trade and/or logistics;
- Experience with ERP systems.
